Linking an automation to a process step

Link an idea or automation to an individual step of a business process model in Automation Hub, and choose whether its estimated benefit counts toward the benefit of the parent process.

Link the idea or automation that represents a step of your business process model, then decide whether its estimated benefit counts toward the total benefit of the parent process. Each step supports one linked automation.

Prerequisites​

  • A business process entry with a saved process model exists in Automation Hub.
  • The idea or automation you want to link exists in Automation Hub.
  • You have one of the roles that permit linking automations. For the Business Process idea flow, the default roles are Account Owner, System Admin, Program Manager, Process Owner, Project Manager, and Process Submitter.

The roles that can link automations are configurable per idea flow in Customize Idea Flows, on the Idea access page, under Linked automations (Edit). For details, see Idea access and actions.

Linking an automation​

  1. Open the business process entry in Automation Hub.
  2. Select the Documentation tab.
  3. Select the process model you want to edit.
  4. Select Edit Process Model.
  5. Select the step on the canvas.
  6. In the side panel, select the Linked Automation tab.
  7. Select Link an automation....
  8. Choose the idea or automation you want to link.
  9. To count the estimated benefit of the automation toward this process, select Include in this process's benefit rollup.
  10. Select Save.

The linked automation appears in the Linked Automation panel for that step, and the step is marked on the canvas. Where you included the automation in the rollup, its estimated benefit is added to the totals on the Linked Automations tab of the business process.

Note:

Clear Include in this process's benefit rollup where the same automation is linked to steps in more than one process. This keeps the benefit of that automation from being counted more than once at organization level.

  1. Open the process model in the process model editor.
  2. Select the step that has the linked automation.
  3. In the side panel, select the Linked Automation tab.
  4. Select Remove link.
  5. Select Save.

The step no longer contributes to the rolled-up benefit of the business process.

  1. Open the business process entry in Automation Hub.
  2. Select the Linked Automations tab.
  3. On the row for the automation you want to unlink, select Unlink.

The automation is removed from the list, and the totals in the banner are recalculated without it.
